NARRATOR:
You will hear a woman speaking to a hotel events manager about arranging an anniversary celebration.
NARRATOR:
First, you have some time to look at questions one to seven.
NARRATOR:
Now listen carefully and answer questions one to seven.
ANDREW:
Good morning, Clare House Hotel.
ANDREW:
I'm the events manager.
SAM:
Good morning, Andrew.
SAM:
I'm organising a celebration for my parents' 50th wedding anniversary and I'm calling to ask about booking a function room for some time next September.
SAM:
My parents and a number of the guests will also need somewhere to stay.
ANDREW:
We should be able to arrange that.
ANDREW:
Are you thinking of a seated meal or something less formal?
SAM:
Most likely a sit-down meal.
ANDREW:
Have you got an idea of the number attending?
ANDREW:
In that case, there are two rooms large enough.
ANDREW:
The Adelphi room accommodates 85 people for a seated meal and more than 100 if it's a standing reception.
ANDREW:
If you decide on live music, there's a gallery overlooking the room with enough space for four or five musicians.
ANDREW:
People like it because the music carries well enough for dancing without making conversation impossible.
SAM:
I hate having to shout just to speak to someone.
ANDREW:
The Adelphi is at the rear of the hotel with French windows opening onto a terrace.
ANDREW:
In September, there are lots of pots there filled with roses.
SAM:
Which way does the terrace face?
ANDREW:
It faces southwest so it catches the sun through the afternoon and into the early evening.
SAM:
That would be lovely.
ANDREW:
The terrace looks across a cluster of trees in the hotel grounds.
ANDREW:
You can walk through them to the river, although the river itself is too far away to be seen from the hotel.
ANDREW:
The other possibility is the Carlton room.
ANDREW:
It's slightly larger and can take up to 110 people.
ANDREW:
It also has a stage which is useful for entertainment and a small band can perform there as well.
SAM:
Does that room open onto an outdoor area?
ANDREW:
It's on the first floor, but the windows along one side look over the lake.
SAM:
Either room could work for us.
ANDREW:
Would you like me to explain some of the additional services we provide?
ANDREW:
Along with the meal, you can book a master of ceremonies or MC who remains with you throughout the event.
SAM:
What would the MC actually do?
SAM:
If we wanted someone to make a speech during the meal, would that be part of the role?
ANDREW:
Our MCs are trained public speakers so they have no trouble being heard over a busy room.
ANDREW:
There also there is your support.
ANDREW:
If any problem comes up, the MC handles it and you don't have to worry.
SAM:
I'll ask about the menu in a moment, but accommodation matters too.
SAM:
I know the hotel has bedrooms, but is there anything else, perhaps cabins?
ANDREW:
There are five cabins in the grounds.
ANDREW:
Each one is self-contained, sleeps between two and four people, and includes a living area, bathroom and small kitchen.
SAM:
That would suit us very well.
NARRATOR:
Before you hear the rest of the conversation, you have some time to look at questions eight to ten.
NARRATOR:
Now listen and answer questions eight to ten.
SAM:
You have several leisure facilities, don't you?
SAM:
Are they all covered by the room hire charge?
SAM:
I was wondering about the outdoor pool, for example.
ANDREW:
Guests can normally use it, but unfortunately it will be closed for refurbishment for the whole of September.
ANDREW:
The gym will still be open though, and using it doesn't cost anything extra.
ANDREW:
It's available from six in the morning until midnight.
ANDREW:
The tennis courts will be open too, although there's a small additional charge for those.
ANDREW:
We have four courts, and it's sensible to reserve one early, because the waiting list can get quite long.
SAM:
Could we talk about the food now?
SAM:
We'd be planning dinner for about seven o'clock.
NARRATOR:
That is the end of part one.
